Technology event Q&A – February 2023

We run monthly tech Q&A events to give organisations the opportunity to get their questions answered. In this blog we share some of the questions we received at the February event.
Q. I have heard other people talk about cyber security training, but we don’t do any. What should we be doing?
A. Every company/organisation should be doing some form of cyber security training. In fact, the ICO now expect all companies and charitable organisations to conduct regular cyber security training and demonstrate a level of staff awareness. This should be part of a structured cyber training programme and crucially must include new starters, who should receive training before being given access to company systems. There are plenty of cyber resources available, ranging from off the shelf, module-based learning that can be administered monthly to bespoke training solutions. You could also incorporate phishing testing on your staff as part of your programme.
Q: What is artificial intelligence?
A: Artificial intelligence (AI) refers to the ability of machines to perform tasks that would normally require human intelligence, such as recognising images, understanding natural language, and making decisions. AI can be implemented through various techniques, including machine learning, deep learning, and neural networks.
Q. I would like to use cloud/SharePoint but don’t know much about it. Where do I start?
A. If you want to make a transition to a cloud-based model, then moving your file sharing function to SharePoint will be a big part of that process. SharePoint allows you to share files in a similar fashion as your current on-premises file share, but you will benefit from added benefits of the Microsoft cloud. This includes features such as better collaboration and permissions, as well as practical elements such as improved business continuity and security. Q: What is the internet of things (IoT)?
A: The internet of things (IoT) refers to the network of interconnected devices, sensors, and objects that can collect and exchange data over the internet. IoT technology enables new applications in various fields, including healthcare, transportation, and smart homes and cities.
Q. Do I need to backup Microsoft 365?
A. We advise our clients that the answer is yes. In fact, Microsoft themselves advise this. Whilst it’s not commonplace, it is possible that your data could become lost or corrupted in some way and without a third-party backup this data could well be irrecoverable. Permanent data deletions on 365 are also exactly that – permanent. So having a backup would allow you to restore data in the case of accidental deletion. The recovery and restore options are also limited in 365, so a third party backup product will give you better recovery points and the overall recovery process is easier.
